About the Job
Khoemacau Mine is looking for a reliable and detail-oriented Materials Clerk to support its warehouse and materials management operations.
The successful candidate will be responsible for accurately recording the movement of materials, tools and equipment while ensuring that inventory records remain up to date.
The role involves maintaining stock ledgers, filing warehouse documents, entering stock information into inventory systems and assisting with stock counts.
The Materials Clerk will also work closely with warehouse employees, procurement teams and other departments to confirm material requests and deliveries.
This position is suitable for candidates with strong organisational skills, computer literacy and previous experience in stores administration, inventory management or logistics.
Key Responsibilities
The successful candidate will be responsible for the following duties:
1. Materials Receiving and Issuing
- Record the receipt of materials, tools and equipment.
- Capture materials issued from the warehouse.
- Ensure stock movements are recorded accurately in inventory systems.
- Maintain proper documentation for all materials received and issued.
- Support the accurate tracking of warehouse inventory.
2. Stock Records and Inventory Administration
- Maintain accurate and updated bin cards.
- Update stock ledgers and inventory records.
- Record stock transactions in the relevant systems.
- Ensure inventory information is complete and accurate.
- Maintain organised records of material movements.
3. Warehouse Documentation and Filing
- File delivery notes systematically.
- Maintain Goods Received Notes (GRNs).
- Organise issue vouchers and requisition forms.
- Ensure warehouse documentation is properly stored.
- Support document control procedures.
- Keep material records ready for audits.
4. Stock Counts and Reconciliation
- Assist with stock movement data entry.
- Participate in cycle counts and physical stocktakes.
- Help reconcile physical stock with system records.
- Identify and report stock discrepancies.
- Support the investigation and correction of inventory variances.
5. Communication and Coordination
- Communicate with warehouse staff regarding material requests.
- Liaise with procurement teams to confirm deliveries.
- Assist end-users with material-related enquiries.
- Confirm material requests and delivery information.
- Support effective communication between warehouse operations and other departments.
6. Materials Identification and Labelling
- Assist with labelling warehouse materials.
- Tag materials according to stock procedures.
- Support the correct codification of inventory items.
- Ensure materials are properly identified for tracking purposes.
7. Stock Monitoring and Replenishment
- Monitor stock levels.
- Identify materials approaching minimum stock levels.
- Notify the Materials Coordinator when replenishment is required.
- Support the availability of materials needed for operations.
8. Audit and Document Control
- Maintain accurate inventory documentation.
- Ensure records are complete and audit-ready.
- Support document control activities.
- Assist with the preparation of inventory information for audits.
Minimum Requirements
Applicants must meet the following educational, experience and competency requirements.
1. Educational Qualifications
Applicants must have:
- Botswana General Certificate of Secondary Education (BGCSE).
- Certificate in Stores Management, Logistics, Supply Chain Management or a related field.
2. Work Experience
- Minimum of three years’ experience in stores, warehousing or clerical support within a logistics or industrial environment.
Experience using stock management or ERP systems is preferred.
3. Computer and Technical Skills
The following will be advantageous:
- Computer literacy.
- Inventory management training.
- Stores management training.
- ERP system training.
- Materials management training.
4. Additional Training
The following qualifications will be added advantages:
- Basic Safety, Health and Environment (SHE) training.
- First Aid training.
5. Industry Experience
Previous exposure to mining or construction materials will be an added advantage.
6. Relevant Competencies
Based on the duties of the position, applicants should demonstrate:
